Search Outlook email by words, sender, recipient and date
A broad search can return hundreds of messages. A useful workflow starts with a distinctive term, then adds one constraint at a time. This makes it easier to see which filter is excluding the message you need.

Start with a distinctive word or phrase
Use a project reference, document name or memorable phrase rather than a common word such as meeting. Search the subject when you remember the title; include the message body when the wording was inside the conversation.

Narrow by participants and time
Sender and recipient information can separate conversations with similar subjects. Consider both received and sent mail: the message containing the final document might be your own reply, not the original incoming email.
A date range helps when you remember the approximate period. Start with a generous interval, then narrow it after checking the results. If you cannot find the message, remove the date restriction before concluding that it is absent.
Refine the existing result list
- Search a distinctive term across the intended indexed archives.
- Inspect several previews to check that the query matches the right conversation.
- Use the result filters to narrow the field, matching mode, message type or date.
- Add another filter only when it answers a specific question.
- If the expected result disappears, clear the latest restriction and inspect the broader list again.
Check the evidence in the preview
A matching word alone does not identify the right document. Review the subject, sender, recipients, date and attachment names. Use the archive column when the same conversation appears in several stored copies.

Frequently asked questions
Can I search both incoming and outgoing mail?
Yes. Select the appropriate received/sent scope and make sure the relevant folders and archives are included in the index.
Why does adding a filter remove all results?
The combined conditions may be too restrictive. Remove filters one at a time and check the search scope and indexing state.
