Find the Outlook email that contains a file or attachment

You have a PDF, spreadsheet or another document on your computer, but cannot remember who sent it or which email contains it. File-to-email search starts from the file itself rather than requiring the subject or sender.

For classic Outlook on Windows. Not an add-in for new Outlook, Outlook on the web or Mac. Search coverage depends on accessible, indexed archives.

Start with the file you already have

Open MailQry's file-to-email search panel and select the local file, or drag it into the panel. Check the displayed name, extension and size so you know the intended document was selected. Choose the comparison mode before starting the search.

Keep the relevant archives accessible in Outlook and ensure the local index has been updated. Attachment comparison can require access to original messages and attachment data: a known filename in an old index is not enough to verify the contents of a disconnected source.

Identical files and similar versions are different questions

Use the identical-file mode when you need an attachment with the same content. MailQry verifies identical content using SHA-256. A filename alone is not proof that two attachments are the same document.

Use the similar-version option when the document may have been revised. Similarity results are candidates for review, not a guarantee that the contents or legal meaning are equivalent. Open the returned attachment and compare the version you need before relying on it.

Find and verify the source message

  1. Select the local document in the file-to-email panel.
  2. Choose identical files or include similar versions.
  3. Start the search and allow attachment comparison to proceed.
  4. Inspect the returned emails, including sender, recipients and date.
  5. Open the original message in Outlook to check the conversation and attachment version.

What to check if no matching email appears

The file may have changed since you saved it, or the matching email may be in an archive outside the selected search scope. Try similar-version comparison when appropriate, check indexing coverage and confirm that the original archive is accessible.

A cloud-sharing link in a message is not necessarily a stored attachment. A file downloaded from a website may never have been attached to an email at all. This feature does not search arbitrary cloud drives or guarantee a match for every local document.

File comparison is performed locally. The selected file is not uploaded to MailQry servers for this search.

Can different filenames contain the same document?

Yes. Identical-content comparison is different from merely matching the attachment name; verify the returned email and file before use.
