Find and save multiple Outlook attachments with MailQry
An attachment search is easier when you first narrow the messages. Search for the filename, a distinctive subject word or the sender, then use the message preview to decide which files to keep.
For classic Outlook on Windows. Not an add-in for new Outlook, Outlook on the web or Mac. Search coverage depends on accessible, indexed archives.
Find the message before exporting the files
Outlook includes built-in attachment filters, which may be enough for a simple mailbox search. MailQry is useful when the relevant messages are spread across selected archives and you want to preview and work with the results in one panel.
MailQry's indexed search includes attachment names. Do not assume a filename search also searches every word inside every PDF or spreadsheet. If you already have the document and need its source email, use the separate file-to-email comparison feature.
Select one attachment or several
- Run a search in MailQry and select the relevant email in the result list.
- Inspect the attachment names and sizes in the attachment panel.
- Select a single attachment, use Ctrl for separate files or Shift for a contiguous selection.
- Use the context menu to copy the selected files or save them to a folder.
- If copying, paste into a destination folder or a compatible email composition window, then verify that all intended files are present.
Choose the export that matches your task
Use selected-file export when you only need a few attachments. Use the ZIP export offered by the results panel when you need the broader collection indicated by that command. Review the selected messages and the export scope before confirming a bulk operation.
To preserve a message together with its context, save the selected email as an MSG file instead of keeping only its attachments. This helps retain the subject and correspondence for later reference; it is a different operation from exporting a folder of documents.
Avoid confusing files with the same name
A conversation can contain several attachments named report.pdf or budget.xlsx. Check the sender and message date before exporting. Read any overwrite confirmation carefully and use separate destination folders if you want to preserve different versions.
Saving a file is not a safety assessment. Treat unexpected attachments as untrusted, follow your organization's security rules and do not enable macros simply because a file appears in a search result. Access to the original archive is required to retrieve attachments that are not otherwise available.
