Search emails across multiple Outlook PST and OST archives
An important conversation can be split between today's mailbox, an older PST archive and sent mail. MailQry lets you search selected archives through one local index instead of repeating the same search separately in each archive.
For classic Outlook on Windows. Not an add-in for new Outlook, Outlook on the web or Mac. Search coverage depends on accessible, indexed archives.
What data is included in the search?
MailQry works with supported archives available through classic Outlook for Windows. Select the PST and OST archives you want to index in the archive management panel. The chosen scope matters: an archive that was not selected cannot contribute fresh results to that search.
A PST is an Outlook data file commonly used for archives. An OST represents locally available mailbox data associated with an Outlook profile. MailQry is not a standalone tool for opening arbitrary disconnected OST files, bypassing account access or recovering missing server data.
Build the first index, then keep it current
The first pass reads the selected messages and builds a separate local database. Its duration depends on archive size, disk speed, Outlook access and the computer's workload. The original PST and OST files are not rewritten or repaired by this indexing workflow.
Later synchronization updates the index as supported changes are detected. A result from an older index may remain searchable even when its original archive is not currently open, but opening the original email or retrieving an attachment still requires access to the source. Reconnect the archive before working with its original content.
A practical cross-archive search
- Open the relevant mailboxes and archives in classic Outlook.
- Select the archives to include in MailQry and run indexing or synchronization.
- Search for a distinctive word in the subject or message text.
- Refine the results by date or participant instead of repeating the search in each archive.
- Check the archive column and open the original message before saving or sharing its attachments.
Understand similarly named and duplicate results
The same email may exist in an active mailbox and a historical export. Two results can therefore point to different stored copies rather than a search error. Use the archive, date and message preview to identify the copy you need.
This workflow does not remove duplicates or merge data files. Keep backups and manage retention separately. Indexing coverage, not simply the number of installed archives, determines how complete your search can be.
Frequently asked questions
Do I have to combine my PST files?
No. Select the supported archives and search their indexed content together without merging the original files.
Does MailQry search all cloud mail automatically?
No. Search coverage depends on the selected data accessible through Outlook and the state of local indexing.
